Outlook on the Web

These instructions are for Outlook on the Web, found at https://outlook.office.com; scroll down to the next section for instructions for the Outlook Desktop App, for either Windows or macOS.


1. Go to Outlook on the Web in Edge, Firefox, or Chrome

2. Navigate down the left column under "groups"; you may need to expand the section if it has a ">" arrow next to it (it will need to be a "v" arrow). Click on the group you want to edit, then click the three dots, and finally click the "Settings" option:



3. In the settings pane that opens, pick the settings you'd like. If you want this to act more like a distribution list for you, select the option under "Follow in inbox" to "Receive all email and events". If you want it to behave more like a shared mailbox, select the option to "Don't receive any group messages". The other options give you more granular control over what types of emails will automatically be sent to YOUR inbox, versus showing up in the Group inbox farther down the pane (like you clicked in step #1)



Windows Outlook desktop app

These instructions are for the Outlook desktop app running on Windows; scroll up to the previous section for instructions for the Outlook on the Web, or scroll down to the next section for macOS.


1. In Outlook, make sure you've selected the Mail icon in the bottom left. (This tutorial uses the standard three-pane view; yours may look somewhat different if you've elected to use a different layout.)

2. Scroll down in the leftmost column, below everything in your mailbox, and above any shared mailboxes you may have access to.

3. Expand the Groups section if it's not already, and click on a group name.

4. Click on the Home tab and then Group Settings button, and select which option you prefer for receiving Group emails. ("All Emails and Events" make it behave the most like a distribution list, and "No Email or Events" makes it behave the most like a shared mailbox.)
